This policy covers the Staff Portal — the web app at app.ar-bookkeeping.com/staff-portal and the companion "AR Staff" mobile app — provided by AR Payroll & Consultancy Ltd ("we", "us") to the employees of the businesses we provide payroll and HR services to.
Who controls your data
If you use the Staff Portal, your employer is the data controller for your personal data — they decide what information is held about you and why. AR Payroll & Consultancy Ltd acts as a data processor on their behalf, under a data processing agreement with your employer. Requests to access, correct, or delete your data should normally go to your employer first; we'll assist them in fulfilling those requests.
What we collect
- Contact details: name, email address, phone number, and home address, as provided by your employer or updated by you in the app.
- Payroll and financial information: payslips, salary, and related payroll data, so you can view your own payslips in the app.
- HR records: your contract, HR documents, holiday and absence requests, and timesheets you submit.
- Profile photo: if you choose to upload one.
- Account identifiers: an internal account ID used to link your login to your records.
How we use it
Solely to operate the Staff Portal for you and your employer: showing you your payslips, HR documents, and holiday balance; letting you submit timesheets and leave requests; and sending you account-related emails (invites, password resets). We do not sell your data, use it for advertising, or share it with data brokers.
Who we share it with
Your data is stored with our infrastructure providers (Supabase, for our database and authentication, and Resend, for transactional email) solely to operate the app on our behalf — they do not use it for their own purposes. We do not share your data with any other third party except where required by law, or with your employer as the data controller.
Data retention
We retain your data for as long as your employer keeps you as an active or former employee on the platform, and as required by UK employment and tax record-keeping law thereafter.
Your rights
Under UK GDPR, you have the right to access, correct, or request deletion of your personal data, and to object to or restrict certain processing. Contact your employer, or reach us directly at info@ar-bookkeeping.com.
